Sales & Events Coordinator

Location: Petoskey, MI

Objective:

The Sales & Events Coordinator will support and drive revenue growth by managing group room blocks, events, corporate accounts, and special group bookings. This role works closely with the Director of Sales, Catering Manager, and other hotel departments to ensure high-quality guest experiences and effective communication.

Job Summary:

The Sales & Events Coordinator is responsible for handling event inquiries, coordinating with departments, and overseeing the seamless execution of group events. This position will play a key role in managing client relationships, handling VIP and group bookings, and ensuring the highest level of service and satisfaction at our properties.

Key Responsibilities:

  • Prepare and oversee all event documentation, coordinate with departments, and manage pre- and post-event activities to ensure service excellence.
  • Build and manage group lodging blocks, assign rates, monitor cut-off dates, and maintain booking records.
  • Handle financial management for group accounts, including deposits, invoicing, and final payments.
  • Collaborate with the Director of Sales to procure new business and manage leads effectively.
  • Conduct site visits, meet with clients, and represent the hotel at trade shows and expos as needed.
  • Address guest and client concerns promptly and professionally, ensuring follow-through on special requests.
  • Utilize INFOR, PMS, and other sales software to track bookings and event details.
  • Perform other job-related duties as assigned

Qualifications:

  • Strong organizational, interpersonal, and communication skills.
  • Proficiency in Microsoft Office and hotel management software.
  • Ability to manage clients with professionalism and to effectively coordinate events under pressure.
  • Minimum two years’ hospitality experience preferred; bachelor’s degree or equivalent experience is a plus.

Requirements:

  • Office and on-site work at events, which may require standing, moving, and occasional lifting of up to 25 lbs.
  • Ability to work flexible hours, including weekends and evenings as needed.

Typical Weekly Schedule:

  • Sales Office Hours (On Property Position – Not Remote):
    • Monday – Friday 9:00am – 5:00pm, Saturday & Sunday by appointment
  • Event Hours:
    • Weekends and Evenings based on event schedule and season. Typically, 11am to 9pm on event days requiring onsite coordination.
  • This is a Full Time, Year-round Position
